    • Our AI voice agent platform and the phone calls processed through it

    • Scheduling tools (such as Calendly) used to book consultations and demos

    3.1 Information You Provide Directly

    3.2 Information Collected Through Our Voice AI Platform
    When our AI voice agents handle calls on behalf of our business clients, the following data may be processed:
    Call audio: recordings of inbound and outbound phone calls handled by our AI agents, subject to applicable notice and consent requirements.
    Call metadata: phone numbers (caller and recipient), call duration, timestamps, call disposition, and routing information.
    Transcriptions: AI-generated text transcriptions of call audio.
    Extracted data: structured information derived from calls, such as caller name, appointment requests, lead qualification scores, callback preferences, and customer intent signals.
    AI interaction data: how callers interact with the voice agent, including menu selections, conversation flow, and task completion status.
    Important: When our AI agents operate on behalf of a business client, that client is typically the data controller for their end customers’ personal information. We act as a data processor on their behalf, subject to our service agreement with that client. If you interacted with a Voicable AI agent while calling a business, that business’s privacy policy governs the use of your information.


    3.3 Information Collected Automatically
    When you visit our website, we may automatically collect:
    • Device and browser information: browser type, operating system, screen resolution, and device identifiers.
    • Usage data: pages visited, time spent on pages, click patterns, scroll depth, and navigation paths.
    • Network information: IP address, approximate geographic location (city/region level), referring website URL, and internet service provider.
    • Cookies and similar technologies: session cookies, persistent cookies, pixels, and local storage used to operate the site, remember preferences, and analyze usage (see Section 8 below).

  5. Legal Bases for Processing
    Depending on where you are located and what data is involved, we rely on one or more of the following legal bases:
    Contractual necessity: processing required to deliver services you or your employer contracted for

    Legitimate interests: processing for business development, service improvement, fraud prevention, and network security, balanced against your rights and expectations

    Consent: where you have affirmatively opted in, such as marketing communications or call recording where required by law

    Legal obligation: processing required to comply with applicable laws, regulations, or valid legal process


  6. Call Recording and AI Processing
    Our AI voice agents may record and transcribe phone calls. The specific notice and consent mechanisms depend on the jurisdiction and the business client’s configuration:
    One-party consent states: in jurisdictions where only one party needs to consent to recording, our client (as the party initiating or receiving the call through our platform) provides that consent

    All-party consent states: in jurisdictions requiring all-party consent (such as California, Florida, Illinois, and others), our AI agent will provide an audible disclosure at the beginning of the call indicating the call may be recorded. Continued participation in the call constitutes consent. Callers who do not wish to be recorded may disconnect

    Client responsibility: our business clients are responsible for ensuring their use of our platform complies with all applicable federal and state laws governing call recording, including the configuration of appropriate disclosure messages. We provide tools and guidance to support compliance, but the client retains ultimate responsibility


    Call recordings and transcriptions are retained for the period specified in our service agreement with the applicable business client, after which they are securely deleted unless a longer retention period is required by law.


  7. How We Share Your Information
    We do not sell your personal information. We share personal information only in the following circumstances:


    With our business clients: when our AI agents handle calls on behalf of a client, call data (recordings, transcriptions, extracted information) is shared with that client as part of our service delivery

    With service providers: we use third-party vendors to host infrastructure, process payments, send emails, provide analytics, and support our operations. These providers are contractually required to use your data only to perform services on our behalf and to maintain appropriate security measures

    With CRM and integration partners: when configured by our business clients, we share call data and lead information with CRM platforms, calendar systems, and other integrated tools

    For legal reasons: we may disclose information when required by law, subpoena, court order, or other valid legal process, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others, investigate fraud, or respond to a government request

    Business transfers: in connection with a merger, acquisition, reorganization, bankruptcy, or sale of assets, your information may be transferred to the successor entity, subject to this privacy policy or a substantially similar one

    With your consent: we may share information for purposes not described here if we obtain your explicit consent.

When we detect a GPC signal, we treat it as a valid opt-out request for the sale or sharing of personal information.

    • Website form submissions and lead data: retained for 24 months after last interaction, unless you request earlier deletion

    • Client account and billing data: retained for the duration of the service relationship plus 5 years for tax and legal compliance

    • Call recordings and transcriptions: retention periods are defined by our service agreements and client configurations and may vary depending on operational and legal requirements

    • Website analytics data: aggregated and anonymized data is retained indefinitely; identifiable analytics data is retained for 26 months

    • Marketing communications data: retained until you opt out, plus a suppression record to ensure we honor your preference


    When retention periods expire, we securely delete or anonymize the data. Anonymized data that cannot be re-associated with an individual may be retained indefinitely for analytics and service improvement.

    We implement administrative, technical, and physical safeguards designed to protect personal information, including:

    • Encryption of data in transit (TLS/SSL) and at rest

    • Access controls and authentication requirements for systems containing personal data

    If you reside in a state with a comprehensive privacy law (including but not limited to Virginia’s VCDPA, Colorado’s CPA, Connecticut’s CTDPA, Utah’s UCPA, Texas’s TDPSA, Oregon’s OCPA, and Montana’s MCDPA), you may have rights similar to those described above, including the right to access, correct, delete, and opt out of certain processing.     If we decline your request, you have the right to appeal. To appeal, email us at sales@voicable.ai with the subject line “Privacy Appeal” and we will respond within the legally required timeframe.


    11.4 International Users
    Our services are primarily directed at businesses in the United States. If you access our website or services from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States or other jurisdictions where our service providers operate. By using our services, you consent to this transfer. If you are located in the European Economic Area, United Kingdom, or another jurisdiction with data protection laws, you may have additional rights under the GDPR or equivalent legislation.   12. Telephone Communications (TCPA Compliance)
    We comply with the Telephone Consumer Protection Act (TCPA) and applicable state telemarketing laws:

    • We do not make unsolicited telemarketing calls to numbers on the National Do Not Call Registry
    • Our AI voice agents operate on behalf of our business clients; each client is responsible for maintaining their own internal Do Not Call lists and honoring opt-out requests from their customers
    • If you receive a call from a Voicable AI agent on behalf of one of our clients and wish to opt out of future calls, you may request to be placed on that business’s Do Not Call list during the call, or by contacting that business directly
    • For questions about calls you received, contact the business whose name was identified at the beginning of the call. For questions about our platform generally, contact us at sales@voicable.ai


  13. Children’s Privacy
    Our services are designed for businesses and business professionals. We do not knowingly collect personal information from children under the age of 16. If we become aware that we have collected personal information from a child under 16 without verifiable parental consent, we will take steps to delete that information promptly. If you believe a child has provided us with

  14. Third-Party Links and Services
    Our website and services may contain links to third-party websites, platforms, and services (including Calendly, LinkedIn, YouTube, and others). This privacy policy does not apply to those third parties. We are not responsible for the privacy practices of third-party sites.   15. Artificial Intelligence Disclosure
    Our core service uses artificial intelligence to conduct voice conversations by telephone. When you interact with a Voicable AI agent:
    • You are speaking with an AI system, not a human being. Our agents are designed to be identified as AI at the start of each interaction where required by law or client policy.
    • AI-generated transcriptions and data extractions may contain errors. We do not guarantee 100% accuracy of any AI-processed content.
    • We use call data and interaction patterns to improve our AI models. Where such data is used for training, it is de-identified and aggregated to the extent commercially practicable.
    • Our platform is not intended to make autonomous legal or similarly significant decisions without human review. Final decisions remain the responsibility of our business clients.


  16. Changes to This Policy
    We may update this privacy policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other operational reasons. When we make material changes, we will:
    • Update the “Last Updated” date at the top of this page.
    • Post a notice on our website for at least 30 days.
    • Where required by law or where changes are significant, notify you by email if we have your email address on file.
